I. Regular Process


New Tenant Agreement: After the tenant form created in the Tenant group report the agreement will generate and it will be copied to the Admin team in an email.


Follow up with the tenant for agreement approval and share the links for signature after approval. Once the agreement is signed upload the signed agreement in tenant contracts,


If the tenant asks for any changes in agreement verify if the changes can be done or not and if you need any help check with your seniour and resolve the issue.


Tenant Renewal:

Follow up with the customer based on the due date and ensure the tenant signs the renewal agreement before the due date.


Check the owner's response if he has given any comments about renewal rent before proceeding with the final agreement.


If the Tenant raises any issue related to monthly rent or any repairs please check with the owner about the rent and repair issues with the MNT team and get closed the renewal.


Amendment:


If any customer ask for adding or removing the name follow the below steps.


Only for Addition:


*. If the customer ask only for addition, collect the below details and add in Zoho under tenant group report and generate the agreement

1. Name

2.Father's Name

3.Mobile Number

4. Email Address

5. Company name

6. Address of the Company

7. Permanent Address

8. Govt It Proof

9.Company Id Proof


* and take the owner's permission to add the new tenant.


If Addition and Deletion:


1. Collect  the details for the person who is moving in and prepare a No due certificate.

2. Send to the people who is moving in and moving out and ask them to sign it.

3. Post receiving the signed document you can generate the agreement with the new tenant details and process the signing formalities.

4. You need to collect Rs.500 for amendment process. in any case.


Owner Agreement:  Share the agreement for signature with the owner once the PAC team shares it with the Admin team after verifying the Ownership proof and property details mentioned in Zoho.


After completion of the agreement upload in All property Contracts in Zoho and update to PAC team.


I. Ad hoc cases


1. Rent Reduction: If any tenant request the rent reduction firstly verify with the tenant why he is asking for the reduction and is it a valid request or no. And then sends the request to the owner as per the tenant's request and takes the feedback from the owner and resolve the issue. If any changes in rent please update in tenant contracts the new rent and update in comments from when to when it is applicable and also update the Rent change date if any.


2. Management Fee reduction: If any owner asks for Management fee reduction validate the reason why he is asking for the waiver like did we agree to give based on some situations or he is only proposing because of the market situations. And try to convince him to continue with the management which is charging currently If not check with the Manager and update the owner. If we agree to any waiver please update to accounts and add it to accounting corrections.
