If the owner is complaining that the Association Maintenance has not been paid, we have to first check who is supposed to pay this. 


First, please check if the Property has an active tenant.  


Case 1: No active Tenant

You can do this by going to:

zoho -> Tenant Contracts. Filter by PropID and ContractStatus = 'Active'. 

If there is no active tenant, then the owner will need to pay. 


It is possible that a tenant has recently vacated and hence it is not paid. You will need to check this with the Accounts team. To check if a tenant has recently vacated, please check:

Tenants -> Tenant Exit and filter by Prop Id. 


If there is an active tenant, we need to check if the agreement is Including or Excluding maintenance. 

You can do this by going to:

zoho -> Tenant Contracts. Filter by PropID and ContractStatus = 'Active'. 

Check field: "MntInlcudingExcluding" 


Case 2: There is Active tenant and "MntInlcudingExcluding"  = "Excluding"

If this is Excluding, it means that the Tenant needs to pay the Association Maintenance 


Please follow up with the tenant and get it paid. In this case, you need to create a new ticket on the tenant. So you will have 2 separate tickets opened in Pending State - one on owner and one on Tenant. 

Please explain to the owner that the Tenant is supposed to pay this and you will follow up with them and get it paid. 

Please ask the owner to send you screenshots/emails from the Association showing outstanding dues, if he has not already done so, so you can share the same to the tenant. 


Case 3:  There is Active tenant and "MntInlcudingExcluding"  = "Including"

In case, "MntInlcudingExcluding" shows as 'Including' means either PropertyAngel needs to pay it (after deducting from rent) OR the owner needs to pay. Please check with the Accounts team if PA is supposed to pay this and they have missed it. 

Please check with the owner if he needs us to pay this on a regular basis. If so, you can let the accounts team know so they can add it to their tracker for regular payments. 

Please get all details from the owner about how much and which accounts to pay. Else, please ask the owner to connect you with the right person from the Association, who can give you these details. 


Case 4: Association Maintenance has been paid, but its been delayed and now there are penalties to be paid to the association. 

In this case, the party (owner / tenant / PA) whoever is responsible for paying the Association mnt, will have to pay
